
Mark Woolsey, Solicitor and unofficial IT lead at Copleys Solicitors LLP, discusses the firm’s move from their legacy dictation provider to Diktamen Cloud Digital Dictation—sharing how the transition improved flexibility, user experience, and long-term control over their workflows.
Can you tell us a bit about your role at Copleys?
Mark Woolsey: “I’m a Solicitor at Copleys and, informally, the internal IT lead. Whenever there are technology-related decisions or new systems to evaluate, I tend to take the lead—making sure the solutions we adopt genuinely support how our teams work.”
What prompted Copleys Solicitors to explore a new dictation solution?
Mark Woolsey: “We’d been using a legacy dictation system. The biggest issues were the support experience and the auto-renewal contract structure—it made leaving extremely difficult. Even when problems came up, it felt like there wasn’t much room to improve or adapt the system. Eventually, we decided to look for something more modern, more flexible, and less restrictive.”
How did your team find the initial experience with Diktamen?
Mark Woolsey: “Diktamen were incredibly patient with us. They allowed us to extend the trial significantly so we could test everything properly before committing. During that time, they made fast tweaks and improvements whenever we requested them. What we really appreciated was their willingness to mould the system around our existing workflows, so users felt comfortable right away.”

Mark Woolsey: “User feedback has been very positive. Because the system was configured to work in a way that felt familiar, adoption was easy. People settled into the new setup quickly, and the improvements made during the trial helped ensure it suited our daily routines.”

Are there any other digital projects on the horizon for Copleys?
Mark Woolsey: “Not immediately. For now, we’re focused on bedding in the improvements we’ve made. But we always keep an eye on new technologies—particularly AI, which is making waves. We’re watching developments closely, but we only adopt tools when the value is clear.”
